Welcome to the ForceHQ platform. Setting up your workspace correctly is the crucial first step to leveraging our AI-powered recruitment tools effectively. This guide will walk you through everything you need to know about getting your platform ready for your team.
1. Workspace Configuration
Your workspace is the central hub for all your hiring activities. It's important to brand it appropriately so that candidates have a seamless and professional experience.
- Navigate to Settings > Workspace in your administrator dashboard.
- Upload your company logo. We recommend a high-resolution PNG with a transparent background (minimum 400x400 pixels).
- Set your primary brand color. This color will be applied to buttons and key UI elements throughout the candidate-facing portions of the application.
- Configure your default timezone. This ensures that all interview schedules and assessment deadlines are localized correctly for your team.
- Select your default platform language. ForceHQ currently supports over 15 languages for both administrative and candidate interfaces.
2. Inviting Team Members
Recruitment is a collaborative process. ForceHQ allows you to invite multiple team members with distinct permission levels to ensure data security and appropriate access.
To invite new users, follow these steps:
- Go to Settings > Team and click the Invite Users button located in the top right corner.
- Enter the email addresses of the colleagues you wish to invite. You can add multiple emails separated by commas.
- Select the appropriate role for the new users.
Available Roles:
- Admin: Full access to all platform settings, billing, and all candidate data.
- Recruiter: Can create AI agents, set up assessments, and view all candidate pipelines, but cannot access billing or global workspace settings.
- Hiring Manager: Can view candidate reports, watch interview transcripts, and leave feedback on candidates assigned to their specific jobs.
- Interviewer: Read-only access to specific candidate profiles for scheduled interviews.
3. Billing Setup
To ensure uninterrupted service, especially when using premium AI features like the AI Headhunter or advanced proctoring, you must configure your billing details.
Navigate to Settings > Billing. Here you can add your primary payment method (credit card or ACH for enterprise accounts). You can also view your current usage metrics, such as the number of AI interview minutes consumed this billing cycle, and download past invoices.
4. Security and Compliance Settings
Data privacy is critical in recruitment. Under the Security tab, administrators can enforce security policies for their workspace.
- Two-Factor Authentication (2FA): We highly recommend enabling mandatory 2FA for all Admin and Recruiter accounts to protect sensitive candidate data.
- Data Retention: Configure how long candidate data, including resumes and video interview recordings, should be retained in the system to comply with your local data privacy regulations.
Once you have completed these setup steps, your platform is ready to go! You can now move on to creating your first AI Interview Agent or connecting your existing ATS.
