Integrating ForceHQ with Greenhouse ATS

Integrating ForceHQ with Greenhouse allows you to seamlessly send AI assessments and receive detailed candidate reports without ever leaving the Greenhouse platform. This tutorial walks you through the API key setup and webhook configuration required for the integration.

Prerequisites

To complete this setup, you must have:

• Admin access to your ForceHQ workspace.
• Site Admin permissions in your Greenhouse account.

Step 1: Generate the Greenhouse Harvest API Key

ForceHQ needs access to your Greenhouse data to pull candidate information and push interview scores.

1. Log into Greenhouse and click the Configure icon (the gear) in the top right corner.
2. Navigate to Dev Center > API Credential Management.
3. Click Create New API Key.
4. Set the API Type to Harvest and the Partner to ForceHQ (or "Unlisted Partner" if ForceHQ is not visible). Give it a descriptive description.
5. Click Manage Permissions. Ensure you grant read/write access to the following scopes: Candidates, Applications, Scorecards, and Jobs.
6. Copy the generated API key. Store this securely; you will not be able to see it again.

Step 2: Enter the API Key in ForceHQ

1. Open a new tab and log into ForceHQ.
2. Go to Settings > Integrations > Greenhouse.
3. Click Connect and paste the Harvest API key you copied in Step 1.
4. Click Save & Authenticate.

Step 3: Configure Webhooks for Real-Time Sync

To ensure ForceHQ knows immediately when you move a candidate to a specific stage in Greenhouse, you need to set up webhooks.

1. In ForceHQ, under the Greenhouse Integration settings, copy the provided Endpoint URL and the Secret Key.
2. Go back to Greenhouse, navigate to Dev Center > Webhooks > Webhooks.
3. Create a new webhook:
   • Name: ForceHQ Candidate Stage Change
   • When: Candidate has changed stage
   • Endpoint URL: Paste the URL from ForceHQ.
   • Secret Key: Paste the Secret Key from ForceHQ.
4. Click Create Webhook.

Step 4: Mapping Assessment Stages

The final step is telling the systems how to communicate regarding specific jobs.

In ForceHQ, go to the Mapping tab within the Greenhouse settings. Here, you will see a list of your open jobs in Greenhouse. For each job, specify which Greenhouse stage (e.g., "ForceHQ AI Screen") should trigger which specific ForceHQ Assessment.

Troubleshooting Common Issues

If scores are not syncing back to Greenhouse, double-check the Harvest API key permissions. If the "Scorecards" scope was not granted in Step 1, ForceHQ will not be able to attach the final report to the candidate's profile.
